You can easily refund payments taken with Kitomba Pay Online Payments, right from Kitomba 1.
Refunding an Online Booking deposit via the sidebar
1. To refund an online booking deposit, elect the Appointments tab.
2. Click on the appointment. You will see the deposit on the left sidebar. Click the Refund button.
3. A confirmation box will appear confirming that you want to refund the payment. Select Confirm to complete the refund.
4. Once the refund is processed, the deposit will be marked as refunded.
Refunding an Online Booking deposit via cancelling the appointment
Most of the time, an online booking deposit will be refunded if a client needs to cancel their appointment, and it has been done out of your cancellation policy window.
Because of this, if you change the status of an appointment to cancelled or no-show, Kitomba 1 will ask if you would like to refund the deposit or keep it.
Refund a cancellation fee
If you have charged a customer a cancellation fee, but need to refund it, you can do so right from the appointment book. Click on the appointment and you’ll see the fee charged. Click the Refund button.
Tip: You may need to change the calendar view from Hide cancelled and no show appointments to Show all appointments. This can be accessed from the Appointment book settings icon at the top right.
2. A confirmation box will appear confirming that you want to refund the payment. Select Confirm to complete the refund.
3. Once the refund has been processed, the cancellation fee will be marked as refunded.
