This guide will take you through how to create a supplier order in Kitomba 1.
This allows you to reorder products used and sold from a specific date—such as your last order or restock items to your set minimum or maximum shelf levels. For smaller, one-off orders, you can create a manual stock order.
To create an automatic supplier order
An automatic supplier order is ideal for replenishing products based on the quantity sold or used since your last order, or for restocking items to their minimum or maximum shelf levels, or
1. Select the Manage tab, then select Stock orders.
2. Select + Stock orders button.
3. The order defaults to an automatic order. Select the Supplier.
4. Select one of the following options to auto-populate the order:
- Amount used since will top up your stock numbers with the same amount of stock that you have sold or used since a particular date (eg. your last order)
- Min order level will bring your stock up to the minimum levels set against your products.
- Max order level will bring your stock up to the maximum levels set against your products.
In this example, we will select Max order level.
5. If you already have already placed a separate order with this supplier, you can choose to exclude stock outstanding in those orders. Select Next to continue.
6. Review the list of products and manually adjust the quantities if required. To add more items, use the search bar at the top of the order screen. Items can be removed by selecting the red X next to the product name.
7. Select Save to complete the order.
To create a manual order
Manual orders are useful for one-off purchases, adding items missed from a previous order, or quickly restocking a product that has sold out—without needing to place a full order with the supplier.
1. Go to the Manage tab, then select Stock order.
2. Click the + Stock order button.
3. Change the order type to Manual and select the Supplier, and then Next.
4. Use the search bar at the top of the screen to find and add the products you want to order.
5. Enter the desired quantities for each product manually.
6. Select Save to complete the order.
7. The order will be shown as Pending on the main screen. Select the order number to make changes or to download the order to send to the supplier. 8. Select the Send order button to Download CSV or Print. You can save the order as a PDF when selecting the Print option.
Who can create orders?
The ability to create orders requires the “Manage Product and Services” and “Manage Stocktakes and Supplier Orders” permissions to be enabled. You can easily enable this for other access levels by checking the box for those levels.
