This guide will take you through enabling PIN access on a device and setting up staff to log in via PIN.
PIN access makes it quick and easy to switch users in Kitomba 1 without needing to enter usernames and passwords or use shared logins.
Ensuring your staff use their own logins is important for security and tracking, to make sure that each staff only gets access to the features you want, and to ensure any actions recorded are under the correct user.
To enable PIN access
1. Go to the Settings tab.
2. Click on Business Settings.
3. Scroll down to PIN set up and select Enable.
4. Enter your admin login details to authorize this change on the device and select Confirm.
5. Choose the number of minutes for the device to lock after inactivity and then click Save.
Tips:
- To make it easy for multiple staff to clock in and out on the same device, we recommend turning off your browser’s “Save password” option. This helps keep logins secure and avoids PIN mix-ups. Visit this support guide for instructions.
- For quick access, save Kitomba 1 to your device’s home screen or desktop — ideal for shared tablets, salon computers, or laptops.
To set staff PINs
1. Scroll to the top and select Staff and users.
2. Click on the staff member's name.
3. Scroll down to Kitomba 1 access and make sure ‘Can log in to Kitomba 1’ is enabled.
4. You can choose how this user can log in to Kitomba 1:
Email and PIN: This is used for staff who need access outside of the salon, and in-store on the shared device.
PIN Only: This setting is perfect if you only want to give your staff access to Kitomba 1 while they are in-store.
Email only: This is used for staff that don’t work in-store but still need access to Kitomba 1 (such as an accountant or salon coach).
5. Set the staff member's level of access as needed.
6. Enter the staff member's mobile number and enter a PIN.
7. Once saved, the staff member receives a text message with a link to set up their PIN. They must click the link and enter their PIN to confirm.
