Sometimes things don’t go as planned; a product or service might no longer be required or may not have met client expectations. Prevent negative reviews or complaints by offering a refund, showing your clients you care about their experience and are willing to put things right.
To refund from the Sales tab
1. Log into Kitomba 1 and select the Sales tab.
2. Select the Refund button.
3. Select a casual customer or search for an existing client.
4. Enter the products or services you are refunding.
5. Make sure the pricing is consistent with the amount you are refunding. You can change this by selecting the line item and adjusting the price.
6. Select the staff member you are refunding against and select the Refund button.
7. Enter the payment type you are refunding to and check the amount is correct, then select Complete refund.
8. The refund status and details will now be displayed in the Sales tab.
To refund from the Appointments tab
1. Select the Appointments tab.
2. Select the Add new button on the left sidebar and select Refund.
3. Enter the products or services you are refunding.
4. Select the staff person you are refunding against and select the Refund button.
5. Enter the payment type you are refunding to and check the amount is correct, then select Complete refund.
6. The refund status and details will now be displayed in the Sales tab.
All processed refunds are documented in Kitomba 1. The history of refunds will be visible on the client’s card, in the Sales tab, on the Kitomba 1 Security Log, and in both Kitomba and Kitomba 1 payments reports.
