Concessions may need to be refunded for various reasons, whether a client no longer requires the remaining services, or the experience didn't meet their expectations. With Kitomba, processing refunds is simple, thanks to a range of flexible refund options.
To refund concessions
1. Log into Kitomba 1 and select the Appointments tab.
2. Select the Add new button on the left side panel and then Refund.
3. Search for the client by selecting Existing customer and enter their name in the search field.
4. Enter the name of the service in the search field and select it.
5. Select Refund concession.
There will be 4 options presented:
Refund concession sale
This is the only option available if there are no redemptions against the concession, paying out its original value.
In the example above, the client had purchased a concession but hadn’t redeemed any visits, so was refunded $480.00 for the concession value.
Refund remaining concession balance
This option refunds the partial balance of the concession that is unspent.
In the example above, the total concession value was $480.00. One had been used (worth $80.00) so the remaining $400.00 value is being refunded).
Refund used concession visit/s
This option refunds the service redeemed back to the concession, returning the balance to the concession rather than paying out the client.
In the example above, the client has redeemed one visit which is being refunded back to the concession, bringing the redeemable visits back up to 6.
Refund both used and unused concession visits
This option refunds the redeemed services to the concession, restoring it to its full original value, and then pays out that full amount.
In the example above, the client has redeemed one visit, so this has been refunded back onto the concession, and the value of the concession is being refunded to the client.
