The Kitomba 1 Appointment Book makes it easy to rebook your clients anywhere, using any device – freeing up your front desk.
Rebook an appointment in the calendar
1. Log into Kitomba 1 and select the Appointments tab.
2. Select the appointment you want to rebook.
3. Select the Rebook button.
4. Select the date you want to rebook the appointment.
5. You can skip a period by selecting the down arrow, and then selecting the period you want to skip. In this example, we are going to rebook for 6 weeks.
6. You will see the arrows have changed from 1 day to 6 weeks. Select the right 6-week arrow to skip 6 weeks ahead.
7. Click and drag the services of the appointment on the left and drop it onto the time slot in the calendar.
Enable the rebooking prompt
Make sure your team never forgets to rebook a client by enabling a reminder after completing an appointment, securing future business and keeping your clients coming back.
The Rebooking prompt is enabled by default and can be turned off in the Appointment book settings shown below.
1. Log in to Kitomba 1 and select the Appointments tab.
2. Select the Settings icon.
3. Select On under Rebooking prompt and close the window to save.
Expert tip: Increase your annual revenue by reducing the length between a client’s next visit. Useful information about the client will be displayed in this prompt, such as any future bookings and their average visit rate, to ensure you don’t miss an opportunity to secure future business.
Rebook an appointment after the sale is complete
1. Invoice the appointment and complete payment details. Once the payment is complete, select the Close button.
2. Select Yes, rebook when the prompt is displayed.
3. Select the date you want to rebook the appointment. You can skip a time period by selecting the down arrow, and then select the right arrow.
4. Click and drag the services of the appointment on the left and drop it onto the time slot in the calendar.
